GETTING IN TOUCH

Send us a message via our contact form with a synopsis of what you think you may need as Virtual Assistance and the hours package or service(s) in general which interests you most.

Please include your website URL if you have one, so we can take a look at your business in tandem. Otherwise, a simple description will suffice to get started.

Task List Creation & RECEIVING A QUOTE/DECIDING ON A PACKAGE

If you have a list of tasks drawn up which you need help with, great. If not, we will send you a list you can check off and discuss further with you. Please let us know how many hours a week or month you foresee requiring VA services, along with any particular days, times of day or deadlines which we need to be aware of.

If the quote for VA work is to your satisfaction, we can proceed to move onto payment.

PAYMENT OPTIONS

All VA time packages must be paid 100% up front. You will receive an invoice for your tax records. Once payment is received, we can move onto the following steps.

VIDEO CHAT TO GO OVER EVERYTHING (OPTIONAL)

Sometimes it’s nice to be able to see your VA’s face and inform them of all details you wish to cover, outside of an email format. We find this helps clients feel things are “real” and it’s a pleasure for your VA to meet you in this way, also.

Subjects we can cover include the discussed action plan, timing and schedule which was drawn up, concerns or queries and so forth.

The video chat would be executed using Microsoft Teams in preference, however Zoom is also do-able. It doesn’t have to take a long time, however an hour of time is devoted to you within your pricing plan and/or website build quote, for this purpose.

SENDING YOUR CONFIDENTIAL INFORMATION

DigitAide is committed to keeping your sensitive and confidential information secure.

Post-payment, we will send you a confidentiality document to sign via PDF so that you know your assets are safe, such as passwords, pictures, documents, intellectual property, etc.

Passwords are required for many different services a VA can assist you with and will be kept secure. We ask that you create a list of URLS and the passwords associated to those accounts and share this document with us via Google Drive.

We ask that you double check ALL PASSWORDS before sharing this document to assure they are correct, to save time. If they are not, time will be billed for figuring this out, re: the spent back and forth. We would like to avoid this, if at all possible. We bring this up as this is the most common troubleshooting at the beginning of a client/VA agreement.

If you do not have a Google Gmail email, kindly sign up for a free email account and you will have access to a free Google Drive to share with us for the purpose of retrieving everything needed to get the job done for you. This is absolutely necessary to work together. If you don’t know how and would like a walk through via video chat on Microsoft Teams, this can be included in your 1hr consultation time with us.

GETTING TO KNOW YOUR BUSINESS

When you first hire a VA, there is a period of time of getting to know your business, downloading your files, organizing things and asking questions for clarity.

Kindly assure that when you begin the process of working with your VA that you do actually have a bit of time to speak or answer emails for the first few tasks while we get the hang of your needs, SaaS used and business requirements.

We aim to render your life easier, not more difficult but inevitably there will be questions at first to make sure we are off on the right track helping you.

TURNAROUND TIME

The time it will take to complete a task will be estimated/evaluated within your original quote.

Generally speaking, a website build can be quick and take a week or it can take several, depending on the complexity of what’s required, along with the pace of providing media/documents/information on your side as much as it does on the VA’s availability managing other clients, etc.

Regarding other tasks, we understand there are deadlines you will wish to have fulfilled and those should be already clear within the set up of your requirements.

In respect to an ongoing relationship and changing needs with time, at least 72 hours are required for new task requests, as advanced notice. Anything more urgent will be considered to be “last minute” and subject to the VA’s availability and added rate of $15 more per hour (plus tax) as a “last minute” fee.

HOURS OF OPERATION OF YOUR VA

Your VA’s schedule will be provided upon negotiation of your time buy for hours of help needed. Generally speaking, 8am - 8pm, Mon-Fri are usual hours, however schedules can change anytime/day/week, etc.

CANCELING YOUR VA SERVICES

You are free to annul your VA services at any time. We respect that your business may have fluctuating needs for support. Kindly remember that your purchased bulk of hours of VA services are valid for 6 months post-purchase, in case you may require assistance further down the line.

Your VA hours are exclusive to you and your business and cannot be transferred to someone else.

REFUNDS

A refund of your purchased bulk of unused VA assistance hours is possible within the first 30 days post-purchase date. If you don’t enjoy our help or no longer require it, we will gladly refund any unused hours if a claim is requested within 30 days of purchase.
